Not everyone who needs access to your accounting system should see everything in it. A project manager needs to log expenses but shouldn't see payroll data. An intern can create draft invoices but shouldn't send them. Your bookkeeper needs full transaction access but shouldn't change the chart of accounts. Pre-built roles cover common scenarios—Admin, Bookkeeper, Employee, Manager, and Accountant—each with sensible default permissions. But the real power is in custom roles. Build roles that match your organization's specific needs by toggling individual permissions: view transactions, create invoices, approve expenses, run reports, access banking, manage users, and dozens more. Each permission is independent, giving you fine-grained control.

Permissions extend to data scope too. Restrict a team member to see only transactions in their department, or only invoices for their clients. This means multiple teams can work in the same system without seeing each other's sensitive data. Combined with the audit trail, user permissions create a robust internal control framework that protects your financial data while enabling productive collaboration.

How It Works

1Go to Settings > Team and select a user to manage their permissions.
2Choose a pre-built role (Admin, Bookkeeper, Employee, Manager) or create a custom role.
3Toggle individual permissions by feature (invoicing, expenses, reports, banking, etc.) and action (view, create, edit, delete, approve).
4Optionally restrict data scope to specific departments, projects, or clients.
5Permissions take effect immediately—no logout or refresh required.
