Billing by the hour requires meticulous record-keeping to maintain client trust. This invoice template pairs a detailed time log with automatic rate calculations so nothing slips through the cracks. Each line item shows the date, task description, hours worked, and rate applied—giving your client full transparency.

If you offer different rates for different types of work (standard vs. rush, regular hours vs. overtime), this template handles multiple rate tiers. It automatically applies the correct rate to each entry and calculates the blended total. This saves you from manual math errors and looks professional when clients review your invoices.

How to Use This Template

1

Set Your Hourly Rate(s)

Enter your standard hourly rate in the rate section. If you charge different rates for rush or overtime work, add those as additional rate tiers.

2

Log Your Time

For each day you worked, enter the date, task description, and number of hours. The template multiplies hours by the applicable rate automatically.

3

Review and Send

Check the total hours and amount for accuracy, add any expenses or adjustments, then export to PDF for your client.

Frequently Asked Questions

Should I round my billable hours up or down?

Industry standard is to bill in 15-minute increments, rounding up. For example, 22 minutes of work would be billed as 0.5 hours. Be consistent and transparent about your rounding policy—state it in your contract and on the invoice.

How often should I send hourly invoices?

For ongoing engagements, biweekly or monthly invoicing works well. For project work, invoice at project completion or at milestones. Avoid letting unbilled hours accumulate beyond 30 days—large invoices are harder for clients to pay promptly.
