If you pay contractors, you are required to file 1099-NEC forms for anyone who received $600 or more during the year. Miss a filing and you face penalties of $50-$280 per form. This template prevents that by tracking every contractor payment and alerting you when someone crosses the $600 threshold.

The W-9 tracking column is just as important as the payment tracking. You need a valid W-9 from every contractor before making the first payment—otherwise you may need to withhold 24% backup withholding. This template flags contractors who are missing W-9s so you can collect them proactively.

How to Use This Template

1

Add Contractors

Enter each contractor's name, address, and taxpayer identification number. Track whether you have received a signed W-9 from each contractor.

2

Log Every Payment

Each time you pay a contractor, enter the date, amount, and description. The template keeps a running total per contractor.

3

File 1099s at Year-End

In January, the template highlights every contractor who received $600 or more. Export their data for filing 1099-NEC forms with the IRS.

Frequently Asked Questions

When do I need to file 1099-NEC forms?

1099-NEC forms must be filed with the IRS and furnished to recipients by January 31 for the prior calendar year. This template provides a year-end export that includes all the data you need for filing.

What happens if I do not file a required 1099?

Penalties range from $50 per form (filed within 30 days of deadline) to $280 per form (filed after August 1 or not at all). For intentional disregard, there is no maximum penalty. This template prevents missed filings by automatically flagging contractors who reach the $600 threshold.
